Spending

This module allows you to track all expenditures in your project on a monthly basis by cost code and subcontractor. You can see how much of your budget has been spent and your remaining balance in real-time.

Accessing the Page

Go to Cost Management

While inside the relevant project, click the Cost Management (database-search-outline) icon in the left menu.

Select Spending

Click the Spending (form-select) option from the submenu that opens.

Entering Expenditures

Open Edit Mode

Click the Edit Mode (lock-outline) button in the top right.

Add a New Row

To add a new spending item, select a Full Code and Company in the empty row at the bottom of the table.

Enter the Spending Amount

Go to the column for the relevant month and enter the spending amount for that month. A cost calculator will open when you click the cell.

Interface and Settings

  • Filter (filter-outline): Filters by a specific subcontractor.
  • Table View (table-eye): Customizes the columns to be displayed.
  • Export to Excel (file-excel-box): Downloads the table in Excel format.
  • Quarter/Year Selection (briefcase-clock-outline): Selects the year and quarter to be displayed.
  • Settings (cog-outline): Configures the behavior of the spending table.
  • Revised Budget: Shows the total budget allocated for the relevant cost item.
  • Monthly Spending Columns: Fields where monthly expenditures are entered.
  • Job to Date Cost: Shows the total expenditure made to date.
  • Remaining Balance: Shows the amount remaining after deducting expenditures from the budget.
  • % Spent: Shows what percentage of the budget has been spent.
  • Authorization: The permission to edit the spending table depends on the user’s roles and permissions.
  • Budget Synchronization: From the Settings (cog-outline) menu, you can ensure that the “Revised Budget” column is synchronized with the data in the Detailed Budget table.
